Help
Fylely is a workspace for the file — not a substitute for the probate code, local rules, or counsel.
Open a matter
From the dashboard, start an estate or a guardianship / conservatorship matter. Add the court, county, case number, and your role when you have them — intake can lag the actual filing.
Finding your way around
Everything is in the menu on the left (on a phone, tap More). Home, Ask (questions about your records, answered by Fylely or by Claude), Calendar and Tasks are at the top; below them every page sits under its heading: Matters & contacts (Matters, Clients, Contacts, Potential matters, Documents), Messages & letters (Email, Messages, Letters & notes, Signatures), Billing (Time, Invoices, Who owes you, Trust ledger, Accounting) and Library. A heading folds away if you click it. On a phone or tablet, where the menu is tucked away, the same pages are also tabs along the top of each page. Everything else — conflict checks, trust reconciliation, bonds, insurance, retention, the date calculator — is in the Library, shelf by shelf; pin the few you use and they sit in the menu under it. Settings and Help are at the bottom of the menu, and your team, your Fylely plan and the colour scheme are behind your name. To find a client or matter, type its name in the search box at the top of any page. Not sure where something is? Press “I want to…” in the bottom corner for a list of everyday tasks. Each open matter also shows its next steps at the top of the file, read from what you have recorded on it. A matter shows the same short row of tabs on every file; “All sections” beside it lists every section under File, Court, Money and People, and typing a name then Enter opens one. Pin a section you use often and it comes first in the row on every matter. The owner can set the firm’s practice areas in Settings, which puts the tools you use first on All tools. If you like keyboard shortcuts: ⌘K (Ctrl+K) searches, ⌘J (Ctrl+J) opens any tool, and ? lists the rest. New here? A two-minute guided tour walks you to each of these places and shows the way: it opens on its own after setup, and you can take it again any time from Settings → Fylely on this device → Take the tour.
Dates you enter, not dates we invent
Suggested deadline labels (creditor claims, inventory, first accounting) are titles only. Due dates come from you. For estates in AL, AZ, CA, CO, FL, GA, IL, IN, MA, MI, MN, MO, NC, NJ, NY, OH, PA, SC, TN, TX, VA, WA, WI, the Deadlines tab also works the statutory probate periods from the date of death, the letters on the Authority tab and the publication dates you type, each with its statute or rule, for you to add one at a time; nothing is added on its own, no local rule is applied, and a date on a weekend is left where the period puts it. Probate clocks vary by state and sometimes by county; a wrong default would be worse than a blank field.
Inventory and the ledger
Log assets with estimated values as you identify them. The ledger is income, expenses, and distributions — the running numbers an informal accounting starts from. Print both as working drafts from the matter page.
Guardianship contact log
Many courts expect documented, periodic contact with the protected person. The contact log is that record. A 30-day gap is a reminder on the matter, not a legal requirement we are enforcing.
Team seats
Every plan is priced per person. The owner adds a person on the Plan page, then invites them by email; each accepts by creating an account with that address or signing in. Team members work on the owner’s matters, each with a role — attorney, paralegal, billing, or read-only — that sets what they can see and change. Only the owner can change the plan or the team.
Share links
Each matter can get a read-only link. Revoke it any time. Do not put privileged strategy notes on a shared file if the recipient should not see them. For a family member or co-fiduciary who needs a standing view, add them by name on the Share tab instead: they sign in with a code sent to their own address, and you can remove one person without disturbing anyone else.
Messages
Everyone you add on a matter’s Share tab gets a private thread with your firm on its Messages tab — one per person, so two beneficiaries never read each other’s questions. When you write, they are emailed that a message is waiting, never what it says. Unread messages show on your home page and under Messages in the sidebar.
Collecting estate assets
An estate’s Collection tab lists every bank, insurer or agency you need to write to. Log each letter with what you enclosed and choose when to chase; chases that are due show on your home page and on the Asset collection tool. Certified copies left are counted from what you logged. Starter request letters are drafts with [blanks] — what each institution requires is theirs to say.
Exports
Inventory, accounting, time, and care-log reports can be printed or saved as PDF from the browser, and downloaded as CSV for Excel. Calendar supports an .ics download for Outlook or Google Calendar.
New to the team? Your first day, by role says what an attorney, a paralegal, billing staff and a read-only account each open, and where to start.
Work in Outlook all day? Fylely for Outlook files an email to a matter, with its attachments and the time, without leaving Outlook.
Draft in Word? Fylely for Word puts a matter's facts and your clauses at the cursor, and saves the document to the matter.
On Clio? Using Fylely with Clio brings your Clio matters, contacts, time, expenses and documents in and sends court dates and time back.
Something not working? Report a bug (also under your name in the sidebar). Every bug we confirm takes 10% off your firm's next monthly invoice.
